Principles
At Mindfulness and Compassion Academy, we act with full awareness of our ethical responsibilities in all education and training processes, and we strive to create a safe, inclusive, and transparent space for participants, instructors, and all stakeholders. These principles apply to all teachers, consultants, students, and collaborators.
1. Insurance Policies
The Academy fulfills all required professional liability and public event insurance obligations for its trainings and activities. This ensures that both instructors and participants are protected in terms of safety, legality, and financial responsibility.
2. Complaints Policy
At Mindfulness and Compassion Academy, we are committed to continuously improving participants’ experience and maintaining an open learning environment. All feedback is considered an opportunity for growth, and complaints are handled with transparency, fairness, and confidentiality.
Participants are encouraged to first share any concerns in writing via info@mindfulnessvesefkatakademi.com. Many issues can be resolved at this stage.
All complaints are responded to in writing within 14 working days. If necessary, additional information may be requested. At the end of the process, a written response is provided to the participant.
All formal complaints are recorded confidentially according to internal procedures. These records are periodically reviewed to ensure alignment with our ethical principles and to support continuous improvement.
This policy reflects our commitment to ethics, transparency, and inclusivity, ensuring a safe and supportive learning environment for everyone.
3. Ethics Policy
At Mindfulness and Compassion Academy, our work is grounded in ethical values and a deep respect for human dignity, inner resources, and individual potential. The following principles form the foundation of all our trainings, gatherings, communications, and relationships:
3.1. Integrity and Transparency
We adopt an open, sincere, and honest approach in all interactions. We prioritize transparency in information sharing, boundary setting, and feedback processes, and avoid hidden intentions.
3.2. Respect
We honor the uniqueness of every individual and their life journey. We listen and witness without judgment, respecting participants’ boundaries, emotions, and experiences.
3.3. Confidentiality
We consider confidentiality a fundamental principle. No personal data, narratives, or expressions shared within programs are disclosed to third parties without explicit consent.
3.4. Voluntary Participation
All participation is voluntary. No coercive, manipulative, or pressuring methods are used. Individuals are supported in engaging at their own pace and choice.
3.5. Transparency
We provide clear and accessible information regarding program content, pricing, registration, cancellation, and refund policies. Open communication is a core priority in decision-making processes.
3.6. Professionalism
Our instructors and team members uphold their competencies with ethical responsibility. We maintain a professional approach supported by continuous development, supervision, and reflective practice.
3.7. Inclusivity
We embrace diversity as a richness. We create safe spaces where individuals can express themselves freely and experience belonging. We approach all differences—such as race, gender, belief, identity, orientation, and socioeconomic background—with openness and inclusivity.
4. Equality, Diversity & Inclusion Policy
We advocate equal access to learning for all individuals regardless of race, ethnicity, gender, age, disability, sexual orientation, religion, or socioeconomic background. We design our programs with cultural sensitivity and prioritize accessibility.

4.1. Inclusive Practices
- We design materials with sensitivity to diverse identities and learning needs, consider individual physical, emotional, or cognitive needs where possible, offer scholarships and flexible payment options, and use non-judgmental, empowering language in all communications.

4.2. Instructor Responsibility
Instructors are encouraged to develop awareness of their own biases and social positioning through ongoing supervision, training, and self-reflection.
4.3. Zero Tolerance for Discrimination
We maintain a strict stance against discrimination, exclusion, or microaggressions. When such behaviors occur, they are addressed with care and appropriate corrective measures.
4.4. Participant Rights
Participants have the right to provide feedback or file complaints if they feel excluded, disregarded, or treated unfairly.
4.5. Continuous Development
Inclusion is an ongoing practice that requires continuous attention and commitment. Our policies are regularly updated in alignment with social and cultural developments.
5. Financial Terms for Participants
All program fees, payment plans, scholarships, and refund policies are transparently shared before registration. Participants confirm their acceptance of these conditions prior to enrollment.
Scholarship applications can be submitted to canan@mindfulnessvesefkatakademi.com. Applications are kept confidential and not shared with groups. Responses are provided within 14 days.
We prioritize transparent, fair, and mutually respectful financial processes. Participants may pay in full or through agreed installment plans.
5.1.Registration, Cancellation & Refund Policy
- Program registration is confirmed upon payment completion.
Cancellations made at least 10 days before the program start date receive a 50% refund.
Cancellations within 10 days of the start date are non-refundable due to reserved capacity.
No refunds are provided after the program begins.Participants choosing installment plans remain responsible for full payment even if they discontinue participation after the program has started.Transfers to another group may be considered in exceptional cases within one year, at the discretion of the Academy.Participants may miss up to two sessions, which may be made up where possible. Beyond this, certification eligibility may be affected.
6. Data Protection Policy
We fully comply with Turkey’s KVKK law and the EU GDPR. Personal data is used only for program-related purposes and legal obligations and is never shared with third parties. Only necessary contact details (name, email, phone) are stored securely.
7. General Terms for Students
Program structure, duration, and content are clearly shared before registration. Participants are expected to join online sessions with appropriate technical setup and a distraction-free environment. Active participation, respectful communication, and adherence to group safety are essential.
Certification is granted only upon fulfilling participation, assignments, and program requirements.
Participants agree to all terms upon registration.
8. Protection Procedures for Instructors and Participants
We prioritize psychological safety, trauma-sensitive practice, and ethical boundaries in all programs. Participation is voluntary, and no one is required to share or engage beyond their comfort level.
We avoid practices that may retraumatize participants and ensure a supportive, permission-based learning environment. Professional boundaries between instructors and participants are strictly maintained.
In cases of psychological distress, facilitators may pause the process and provide supportive guidance, including referral to appropriate professionals when necessary.
All programs are educational in nature and do not replace psychotherapy or medical treatment. Participants remain responsible for their own emotional, mental, and physical well-being throughout the process.
9. Sustainability Policy
We are committed to environmental, social, and educational sustainability. We prioritize digital materials, reduce paper use, support energy efficiency, promote social inclusion, and integrate environmental awareness into our programs. We regularly review and improve our sustainability practices.
10. Well-being Policy
We prioritize participants’ emotional, mental, and physical well-being. Our programs offer safe, supportive environments where individuals are respected in their pace and boundaries. We integrate mindfulness, self-compassion, and somatic awareness practices to support holistic well-being.
We continuously update our programs based on feedback and emerging knowledge, ensuring that well-being remains central to all our work.
